• Time limits. Deleted-item recovery windows expire — often within 30 to 93 days. Discover a problem later and the data may be gone for good.
• Departed employees. When you remove a user's license to save money, their mailbox and OneDrive data can be permanently deleted after a short grace period.
• Ransomware and mass deletion. If malware or a malicious insider deletes or encrypts data at scale, the recycle bin is not a reliable recovery tool.

• No point-in-time restore. Native tools rarely let you roll a mailbox or site back to exactly how it looked before an incident.
