Microsoft Entra ID Explained for Small Businesses
Microsoft Entra ID is the identity service behind every Microsoft 365 account. It was called Azure Active Directory until Microsoft renamed it in 2023. Every time someone signs in to Outlook, Teams, or SharePoint, Entra ID checks who they are, applies MFA and access rules, and decides what they can reach. If your business uses Microsoft 365, you already have it. The question is whether it is set up to protect you or just running on defaults.
Entra ID vs. Active Directory
Despite the old name, Entra ID is not Active Directory in the cloud. Traditional Active Directory runs on domain controller servers in your office, handles sign-in to computers on the local network, and pushes settings through Group Policy. Entra ID is a cloud service built for web sign-ins, mobile devices, and software-as-a-service apps, and it is managed alongside Intune rather than Group Policy.
Many businesses run both, using Entra Connect to sync user accounts from Active Directory up to Entra ID. Many small businesses no longer need the on-site part at all: laptops can join Entra ID directly, files can live in SharePoint and OneDrive, and the domain controller server can be retired.
What it does for a small business
- Single sign-on. Connect your other cloud apps — payroll, CRM, accounting, the construction or practice platform — to Entra ID, and one account with MFA opens all of them. Disable that one account and access to all of them ends.
- MFA and conditional access. Require MFA, block sign-ins from countries you do not work in, and allow access only from managed devices.
- Self-service password reset. Users reset their own passwords after proving who they are with MFA, which cuts help desk calls.
- Groups. Access to Teams, SharePoint sites, and apps assigned by group, so a new hire gets the right access from their role.
- Device identity. Company laptops joined to Entra ID and managed by Intune, so the system knows which devices are yours.
- Guest accounts. Partners and clients get their own guest identities instead of shared logins.
- Sign-in logs. A record of who signed in, from where, and whether it succeeded — essential when investigating a suspicious account.
Licensing in plain terms
The free tier included with every Microsoft 365 subscription covers basic sign-in, security defaults, and single sign-on. Entra ID P1, included in Microsoft 365 Business Premium, adds conditional access and more advanced group and access features — for most small businesses, this is the tier that matters. Entra ID P2, included in E5 or available as an add-on, adds risk-based policies that react to suspicious sign-ins and time-limited admin access.
Setting it up right
- Keep two emergency access accounts. Two cloud-only “break-glass” admin accounts with very strong credentials, excluded from policies that could lock everyone out, and monitored so any use raises an alert.
- Limit global administrators. Two to four people, using separate admin accounts. Give everyone else narrower admin roles if they need any.
- Require MFA everywhere, then move toward phishing-resistant MFA and conditional access.
- Control app consent. Stop users from granting unknown apps access to company data on their own.
- Review sign-in logs and admin roles on a schedule, not just after an incident.
Microsoft’s own checklist for many of these lives in Secure Score.
Signs your Entra ID needs attention
- Former employees still have active accounts or licenses.
- Some users, often executives, are excluded from MFA “for now.”
- More than a handful of people are global administrators, or nobody is sure who is.
- Guest accounts from projects that ended years ago are still enabled.
- Shared mailboxes or service accounts have passwords and sign-in enabled when they do not need them.
- Nobody has looked at the sign-in logs since the tenant was created.
Retiring the on-site domain
If you still run a domain controller mainly because “that is how it was set up,” going cloud-only may be simpler, cheaper, and more secure. It works best when files already live in SharePoint, laptops are managed by Intune, and no remaining application depends on the local domain. Our guides to on-premises vs. cloud and moving a file server to SharePoint cover the decision.
